This agreement (the “Agreement”) is entered into between, DMC I Travel Iceland ehf. Id 680515-0260 (“Supplier” or “DMC”) and (“Client” or “Customer”), represented by its agent, („Agent“) carrying on business as (Name) (jointly hereinafter “XXX”) on behalf of its client, ((“Client” or “Customer”).
PAYMENT AND DEPOSIT SCHEDULE FOR DMC SERVICE:
All invoices and travel itinerary are sent to customers electronically as PDF documents attached to an email.
After the invoices has been issued and confirmed, the price of a booking is guaranteed against surcharges unless these are due to an increase in the cost of fuel and other power sources, government taxes and fees, and currency fluctuations relevant to your booking.

Confirmation – 30%, there of 25% non refundable deposit of total quotation.

12 weeks prior arrival – 70% deposit.
In case of delay on payments, DMC Incentive Travel ehf. will reserve the right to treat the booking as a cancellation and withdraw its confirmation of services.

If payment is done by credit or charge card, DMC Incentive Travel ehf. accepts Visa, MasterCard and American Express. American Express charges DMC Incentive Travel a 3.8% handling fee and for other cards we charge 1,5% and we regretfully have to pass this fee on to our clients, this fee applies to the total invoice.

CANCELLATION TERMS:
All cancellations must be sent to DMC Incentive travel ehf in writing, by letter or e-mail, and need to be confirmed by DMC Incentive Travel ehf. in order to be valid.
A cancellation fee will apply as follows:
• Between 52 weeks and 13 weeks prior to the arrival date: 35% of the total amount will be charged.
• Between 12 to 5 weeks prior to booked arrival date: 85% of total amount will be charged
• 4 weeks (28 days) or less prior to booked arrival date: 100% of total amount will be charged.
DMC Incentive Travel ehf. reserves the right to change rates of economic changes, already quoted or published without notice in the event of currency fluctuation, government taxes, or due to any other cost changes that are beyond DMC Incentive Travel ehf. control.
In case of VAT or other tax changes, the client contract prices will change accordingly. Price change affected by tax changes will apply to all reservations, although reservation has been confirmed on previous prices or payment has already been made.

CHANGES TO BOOKINGS:
All booking change requests must be made via email by the person who submitted the original booking request. We will do our best to make the changes, but it may not always be possible. All changes are subject to availability.

CUSTOMER SERVICE AND QUALITY:
Our goal is to provide excellent customer service. To do so, we maintain strict quality monitoring. If, for any reason, you are unhappy with your incentive program, we want to hear about it right away.

ROOM AVAILABILITY:
Reserved rooms are available to the customer starting at 4:00 p.m. on the agreed arrival date. Rooms must be vacated and made available to the hotel no later than 11:00 p.m. on the agreed departure date. After that time, on the grounds of the delayed vacating of the room for use exceeding the contractual time, the hotel may charge 100 % of the full accommodation rate (list price).

ROOMING LISTS & CHECK IN:
DMC Incentive Travel ehf. must have received a name list 12 weeks prior to the departure of the tour. If a name list has not been sent by that time all allocation will be cancelled.
DMC Incentive Travel ehf. must have received the final name list 4 weeks prior to departure. All bookings thereafter are on request but it is negotiable to keep “no name” rooms for longer.

The Client is obligated to guarantee all incidentals should they wish to have a “group check in”. If this guarantee cannot be made, the Hotel will require each guest to check in and provide credit card details before they can be given access to the rooms. The Client is responsible for informing each participant of any individual payments that are to be made. It must also be communicated to all participants involved if it will be necessary to check out at the Hotel’s reception. The Client is liable to pay individual outstanding bills with the Hotel if the participant(s) fail(s) to check out and settle the balance incurred.
DAMAGE CLAUSE:
In the unlikely event that damage to any Hotel property occurs as a result of any guest related to the client, the client agrees to assume all liability and expense and agrees that the Hotel may charge the client for any damages to persons and / or property. The client shall not have waived or be deemed to have waived, by reason of this paragraph, any defense that it may have with respect to such claims.
OTHER MATTERS FOR HOTEL:
Should hotel, for reasons beyond its control, not be able to provide guests with the agreed rooms, it shall provide rooms of equal or superior quality, without any additional charges
LIABILITY:
DMC Incentive Travel ehf. acts in good faith and cannot be held responsible for any loss, damage, accidents, sickness or schedule changes caused by weather or road conditions, force major such as natural catastrophes, strikes or any other irregularities beyond the control of DMC Incentive Travel ehf. Luggage is at owner’s risk throughout the tour. In case of any changes in flights (domestic and international), the passenger has to pay any additional cost caused by this, at the time service is proceeded (extra hotel nights, meals, transfers etc.)
INSURANCE:
We consider adequate travel insurance to be essential. DMC Incentive Travel ehf. cannot accept responsibility for any cost for you or any of your travel party that may incur as a result of failing to take out insurance cover. Please note that individual travel insurance is not included in the tour price and all medical cost and other cost involved are paid by the client/traveller. It is therefore strongly recommended that participants acquire personal insurance, especially for the active tours. It is the traveller responsibility to ensure that the insurance cover the purchase is water sports, riding tours, snow scooter tours and winter sports, etc.
PASSPORTS, VISAS, HEALTH REQUREMENTS AND TRAVEL DOCUMENTS:
Iceland is a part of the Schengen agreement. For details on general visa, passport requirements and health information view the official website for Iceland Ministry for Foreign Affairs, www.mfa.is.
It is the passengers' responsibility to ensure that they are in possession of all necessary travel and health documents before departure, including a passport valid at least three months after return travel date. We cannot accept liability if you are refused entry onto any transport or into any country due to failure on your part to carry contact documentation. If failure to have any necessary travel or other documents results in fines, surcharges or other financial penalty being imposed on us, you will be responsible for reimbursing us accordingly. In the event we are asked to reissue tickets that have been lost, destroyed or stolen and we agree to do so, any charges incurred as a result of this will be payable by you.

FORCE MAJEURE:
Notwithstanding anything else herein contained to the contrary, DMC I Travel ehf. cannot be held liable for delays or cancellations that are caused by events that are beyond its reasonable control, including, but not limited to strikes, restriction on supplies, acts of civil or military authority, acts of terrorism, insurrections, peace or army action, civil commotion, demonstrations, natural disasters, pandemic etc. In the event of a cancellation due to Force Majeure, DMC I Travel ehf. agree to credit any prepayments towards a future date for the same event.

QUOTATION:
All prices are net and in ISK.
DMC I Travel ehf. reserves the right to increase prices already quoted or published without
notice in the event of currency fluctuation, government taxes, or due to any other cost increases that
are beyond DMC I Travel ehf. control.

JURISDICTION:
The law of Iceland will be applied in interpretation of this agreement. The District Court of Reykjavik, Iceland, will have the exclusive jurisdiction to adjudicate any dispute arising under or in connection with this agreement.
MODIFICATION AND TERMINATION:
All modifications of this agreement must be in writing and signed by the contractor and manager of DMC I Travel ehf.
DMC I travel ehf. may cancel reservations and terminate this agreement without notice if contractor does not fulfill its obligations under these general terms and conditions.
